LRC Tip of the Month

When presenting with PowerPoint, you can use hyperlinks to jump out of your presentation directly to a relevant web page or file. Any text, picture, or other object on the slide, can be made a clickable link.

Switching back to PowerPoint will take you back to your presentation where you left it.

How do you add a hyperlink?

  1. Select or highlight the item to be linked

  2. Choose Insert from the menu bar, then highlight and select Hyperlink (see image to the right)

  3. Choose the type of link (see image below)
    • You can link to web pages, external files, and email addresses.
    • Typing a web address into the Link to: text box sets the page that will open.
    • Browse to a file by clicking on Browse for File.
    • Linking to a file will open that file in its application. (For example, PDF files will open in Acrobat Reader. This can be useful if you want to show something, such as a PDF, that can't be easily inserted into PowerPoint.)

Mousing over a linked object during the presentation will reveal the web address.

Using external links can slow down your presentation and web pages can disappear or be changed. Internet access can be down. You can avoid these problems with a little preparation.

  • Check your Internet access before beginning your presentation.
  • Check that the links still work and that the web pages you want are still available.
  • Start your web browser before you begin presenting and open any linked pages. This should minimize the delay when you open them during the presentation.

Before presenting, double-check any links to files. These won't work if the files have moved.

  • If you need to copy your presentation to a different disk or computer, place all of the files in the same folder with the presentation, copy the entire folder to the new disk, and double-check that the links still work.
  • It is a very good idea to open all of the linked-to applications before beginning your presentation.
Bonus tip:

Help! I typed a web address (or email address) and I don't want it to be a link. How do I remove a hyperlink?

  1. Highlight the underlined web address in the presentation.

  2. Choose Insert from the menu bar then highlight and select Hyperlink
(Note: this time, the Edit Hyperlink screen will appear)

  1. Click on the Remove Link button
